Use a three-way check before paying a supplier
Agree quantity, unit, price, taxes, delivery terms and payment conditions.

Check the approved order
Agree quantity, unit, price, taxes, delivery terms and payment conditions. Keep approval separate from receipt so one person’s purchase request is not treated as proof that the goods arrived.
Compare goods received with the invoice
Count and inspect deliveries. Record partial receipts, damaged goods and substitutions. Match the supplier invoice to the approved order and accepted receipt, not simply to a delivery driver’s statement.
Reconcile payment once
Reference the invoice when paying and keep evidence of the transfer. Reconcile the stock receipt and financial posting so a payment does not create a second receipt or duplicate cost. Resolve discrepancies before closing the order.
